“Financial automation software” sounds like a product you can buy off a shelf. In most Indian offices it is not. It is a set of rules: if an invoice is unpaid after seven days, remind the client; if UPI landed in the current account, mark the bill; if GST is due next week, do not let a draft sit in someone’s Downloads folder.
If you search the short keyword, you get global AR platforms, US payroll tools, and decks that promise “touchless finance.” Your team still chases fees on WhatsApp. That gap is the real brief.
Here is how I would choose financial automation software for Indian SMBs - whether you buy, stitch tools, or get something custom.
Write down the three jobs you want the software to do without you Not “digitise finance.” Three jobs. Ours usually look like this:
- Send a polite reminder when a GST invoice is overdue - without the founder typing it.
- Show paid vs partial vs overdue in one list the ops person trusts.
- Stop the “please share invoice again” loop with a client login or a signed PDF link.
If a vendor cannot demo those three on a sample Indian invoice (GSTIN, SAC, partial payment), they are selling a dashboard. Custom financial automation software instead of Excel only pays off when it removes a human from a repetitive money task.
Prefer rules first, AI later Reminders, due dates, and “if unpaid then email” are simple automation. They are cheaper and safer than a model that drafts credit notes. Use AI later for messy inputs: reading a bank PDF, tagging an unstructured WhatsApp “paid 50k.”
We wrote about that split in when to use AI vs simple automation. Finance is exactly where a wrong 1-in-20 guess hurts.
Questions that keep you out of a two-year ERP 1. Can we start with invoicing and reminders only? 2. Who owns the data if we leave in 18 months? 3. Does it handle GST invoice numbering without gaps? 4. Can staff mark a bank receipt when the customer paid outside the app? 5. Will my CA recognise the PDF?
If the answer to (1) is “only if you take inventory, HR, and CRM,” walk. How to choose financial automation software in India is mostly about saying no to modules you will not open.
Red flags - “Fully automated accounts” with no human approval on credit notes. - No mention of GSTR or your accountant’s export. - A mobile-only app when your books live on a desktop Tally dump. - Implementation that starts with a six-month “discovery” and no live reminder in month one.
What good looks like A first slice live in weeks: invoices, statuses, one reminder sequence, maybe a client view. Then bank matching. Then reports your partner actually reads.
Rastogi Codeworks builds that kind of financial automation for service businesses and CA-facing teams in Delhi NCR - GST-aware, UPI-realistic, no fake wallet. See Automation & AI or book a call with the three jobs above. We will tell you what should be a rule, and what should stay a person.
